Structured MICE procurement can only succeed with the people who carry it

Who needs to be on board for the project to succeed?

The "Assess" phase provides the facts. Whether this turns into a real project, however, depends on the people within the company. MICE procurement is often organized decentralized and carries emotional weight; “We’ve always done it this way” is one of the most common reactions to proposals for change. In practice, efforts to rally support often fail primarily due to a lack of a clear mandate from senior management.

A resilient mobilization builds a genuine leadership coalition:

  • Travel Management and Procurement as key drivers

  • Finance, because budgets and cost centers are involved

  • Assistants and bookkeepers who implement the process in their day-to-day work

  • Departments with a high volume of courses as early supporters

  • The works council, provided that event budgets are covered by existing guidelines on areas of responsibility

Vague announcements of a “new strategy” tend to generate resistance rather than support. What really convinces people is clearly specifying what will change and what won’t, for bookers in their day-to-day work. A visible, high-level sponsor from senior management, combined with one or two visible quick wins from the "Assess" phase, creates the necessary momentum for the next steps.
