How does the new approach become a new habit?
Once providers have been selected and contracts signed, the procurement phase is complete. The focus now shifts to operational implementation: rollout, training, communication, and the enforcement of policies and compliance in day-to-day operations. Systems are often implemented technically flawlessly, but the actual change in behavior among users fails to materialize if enablement and incentives are lacking.
For an initiative to become a habit, four elements are needed:
- Users must first understand why something is changing.
- Develop a desire to go along with it.
- Know and be able to follow the new process, and
- The new way of working must be reinforced over the long term through tangible improvements in their day-to-day work.
In practical terms, this is reflected in the rollout, the training concept, clear communication, and a defined escalation process in the event of non-compliance.
Hardly any other step brings together as many conflicting interests as the subsequent billing process: The service provider wants to be paid on time, while the company wants assurance in advance regarding the cost center, tax-compliant allocation, and confirmation from the person responsible for the expenses. A structured, digital process reverses the traditional sequence: Each invoice is verified against the recorded journal entry and the services actually rendered before it is approved, rather than having to painstakingly reconstruct the reconciliation retroactively across multiple departments.
