Companies can enter their framework agreement partners and preferred partners on the booking platform in the MICE Portal. These are visually highlighted in the hotel database with an icon and their rates are stored in the system. This way you can be sure that your negotiated rates will be adhered to!

The MICE Portal purchasing solution can be seamlessly integrated into existing purchasing systems such as SAP, Coupa or Oracle.

Booking and invoice data can be transferred automatically via standardized interfaces, approval processes can be integrated and relevant information such as cost centres or project codes can be transferred directly. This allows the entire procurement process for event services to be mapped digitally in an efficient, secure and compliant manner - from inquiry to invoicing.

MICE services can also be purchased via MICE Portal by integrating your own terms and conditions. These can be stored in the system and automatically transmitted to providers, e.g. for inquiries or bookings. It is important that the T&Cs are expressly accepted by the provider - for example, as part of an offer acceptance or via existing framework agreements. With preferred partners, such agreements can be stored permanently. In order to avoid potential conflicts with the suppliers T&Cs, it is advisable to ensure clear coordination in advance and legally compliant documentation via MICE Portal.

MICE Portal provides you with transparent reports and evaluations of all event-related purchases - structured according to cost centers, event types, locations, suppliers or budgets. This allows you to identify potential savings, bundle purchasing volumes in a targeted manner and keep an eye on your guidelines.

In addition, the data can be exported to your existing systems or integrated via an interface, for example for further processing in SAP, Coupa or BI tools. The portal thus enables you to centrally control the entire MICE purchasing process based on data.

The CO₂ emissions of events can be calculated automatically via the MICE Portal - based on factors such as travel, accommodation, catering or technology. The emissions are shown directly in the system and can be evaluated in the reporting module by time period, event type or cost center. This gives you a transparent CO₂ balance sheet for your events and you can use the data for ESG reporting or compensation measures, for example.

The MICE Portal digital booking platform is hosted in Germany - on certified, GDPR-compliant servers. It is hosted by a German data center provider that meets the highest security standards (e.g. ISO 27001).

This ensures that all your event booking and user data is processed in accordance with data protection, IT security and compliance requirements - entirely within the EU and without being transferred to third countries.
