Phase 5 Evolve: Measure impact

Established processes turn into a cycle of measuring, reporting, and targeted expansion

Key question: How do we measure our success—and where do we expand next?

Governance is in place, processes are running, and the organization is on board. But without reliable data, the success of strategic MICE management remains merely a claim. In the further development phase, real-world practice gives rise to a cycle of measuring, reporting, and targeted expansion—and the flywheel begins to accelerate on its own.

A robust business case rests on several pillars. Four methods have become established for demonstrating cost savings in MICE procurement:

  • Year-over-Year Comparison: Trend in Costs per Event or Participant Over Time

  • Quoted vs. Actual: Comparison of Negotiated Terms with Actual Billed Costs

  • Budget vs. Actual: Comparing Actual Costs to the Planned Budget

  • Cost Avoidance: Costs that were prevented from arising in the first place through management and negotiation

At DATEV eG, the impact of the new process is reflected in the numbers: The transaction processing rate via the central platform is now between 90 and 95 percent. What began as a pilot project is now standard practice—and the foundation for the next phase of expansion. Link to the DATEV case study →

An overview of all four measurement methods for quantifiable savings is available in the full white paper.

At the end of the further development phase, the result is:

  • An established set of KPIs for costs, compliance, and usage

  • A regular reporting schedule with the relevant stakeholders

  • A prioritized next phase of expansion for the coming year
